Package inclusions, full payment schedule, cancellation and substitution policy, overtime rates, what happens if the vendor is unable to perform on the day, and a complete list of fees including travel and gratuity. Do not sign anything until you have all of this in writing.

Two to three per category. More than that becomes hard to evaluate. A referral from someone you trust is often worth more than an unsolicited quote because you have a data point on actual delivery. Use online reviews to screen before requesting quotes.

Your photographer and venue contracts have the highest impact and involve the hardest-to-replace services. For photographers, confirm whether a second shooter is included, what happens if they are ill, and who owns the rights to the images. For venues, confirm exactly what is included in the rental fee.

All contracts signed and deposits paid at least 3 months before the wedding. At 3 months out, do a complete audit: list every vendor, confirm you have a signed contract with each one, and note any remaining payment due dates so nothing surprises you.
